Application to Trade at Sunflowerfest 2012

  • 1 pass allocated per 1m frontage, additional passes will be charged at £40 each.

 

Terms and Conditions

  • Losses. Sunflowerfest will not be liable for any loss incurred by you at any event in connection with organisation of an event or any incident that may occur during an event. This includes bad weather. Neither will Sunflowerfest  be liable for any loss due to breakdown of machinery, failure of any public utility, fire, government restriction, security restriction or act of god which may cause the site to be closed or the event interrupted or cancelled
  • No rebates will be given as a result of changes in performance programs, nor as a result of change of site layout.  Sunflowerfest  will not accept responsibility for the level of trading during the event.
  • Traders are responsible for keeping their designated area rubbish free during and after the event. You will not be allowed off site until your area has been checked.
  • Traders must breakdown all cardboard boxes for recycling and placed in the designated area.
  • Traders must leave the site as they found it.
  • NO SELLING OF Alcohol
  • NO SELLING OF Herbal Highs / Legal Highs
  • NO SELLING OF Poppers
  • NO SELLING OF Cigarettes
  • NO SELLING OF Hand held candles / wax flares
  • If using gas then all fittings and connections should be in accordance with current regulations. The local authority fire officer will inspect all units using gas. Non compliance will mean closure.

Food Traders must also

  • Comply with all local Environmental Health Officer Regulations
  • All food units must be registered as a food outlet with the local authority for their company / business address
  • Comply with all UK Fire regulations
  • All gas equipment and storage must comply with current UK legislation. Gas must be stored in locked cages, with clearly labelled valves for emergency shut-off.
  • Only one spare gas bottle for each one in use can be stored at your stall. The rest must be placed in the Gas compound.
  • Have electrical appliances in good working order
  • All food units should include appropriate washing facilities (including hand-wash) for the activities being undertaken. Each person should maintain a high degree of personal hygiene at all times and wear suitable protective clothing e.g. gloves, hats, headscarves and where necessary PPE.
  • Have your insurance certificate, both employers and public liability on display at all times.
  • Have a price list on display (all prices must be in GBP) at all times.
  • Therapists responsible for bringing their own tables/chairs, oils and towels. A small hand basin for washing hands may also be advisable.

Arriving on site

All vehicles are brought on site at owner’s risk and only permitted at scheduled times agreed to with management.  Sunflowerfest  will not accept any responsibility for any loss or damage.

Once on the site please drive at 10 MPH and obey instruction from stewards / security.

No animals are allowed on site. If you use a guide dog then please inform Sunflowerfest  before the event.

Traders must co-operate with festival security in any search of vehicles or stalls.

You will be allocated your site and you must not attempt to set up or trade at any location without the permission of  Sunflowerfest

All traders will be allocated a pre agreed number of vehicle and staff passes

Under no circumstances is anyone to attempt to enter the trading area with a vehicle once set up is completed or try to leave the site before authorisation from Sunflowerfest   staff has been given

Fire Fighting Equipment

Suitable fire fighting equipment should be provided at the catering operation dependent on the activity type. The equipment must conform to the relevant British standard. No combustible materials should be allowed to accumulate next to any catering outlets.

Suitable equipment levels are

Non cooking: 1 x 4kg dry powder extinguisher & 1.5kg C02 Fire extinguisher.

Cooking: 2kg ABC Fire extinguisher & 1.5kg C02 Fire extinguisher. Also a 1M2 light duty fire blanket

(BS6575) or if deep fat frying a 6L wet chemical (class F) / 9L AFFF / 2KG ABC dry powder fire extinguisher & a 1.5kg C02 fire extinguisher & a 1.8m2 heavy-duty fire blanket.

Pitch Fees:

Main arena – Hot Food & Retail traders:

6 x 3m trailer pitch – Price to be advised (weekend)

3 x 3m pitch – Price to be advised (weekend)

Village – Craft stalls and hot/cold food and beverage traders:

3 x 3m pitch – Price to be advised (weekend)

Alternative Therapies -

2 therapists per 3 x3m pop up – £75 (weekend) or £25 (day)
